Set up an accrual for an expected bill

Prepare an evidence-based accrual for a bill that has not arrived, including the reversal and checks against costs already booked.

Use case

The month has ended, the service has been received and the supplier's bill has not arrived. You need to recognise an agreed estimate and make the subsequent reversal easy to review.

Introduction

Begin with the obligation and the estimate behind it. A bill that is already booked but unpaid does not automatically need another expense accrual. Check bills, journals and previous plans before preparing a new entry.

xpnAi's Accruals workflow supports a finite schedule and full or partial reversals. For one expected bill, a single month-end accrual with an agreed reversal is a useful starting point. The accruals guide explains how schedules and reversals work.

Prompts

The amount below is an illustrative estimate in the organisation's base currency. Replace it with your supported calculation.

1. Check what is already recognised

Use xpnAi's Accruals guidance for [organisation].
We expect an electricity bill for September 2026 that has not
arrived. The supported estimate is 3,000 in base currency,
excluding tax, based on [usage calculation or other evidence].

Check related bills, ledger entries and existing accrual plans.
Show any amount already recognised for this same obligation.
Confirm the additional amount needed, expense and accrual-liability
accounts, tracking and evidence before preparing a plan.

2. Preview the accrual and reversal

Prepare the agreed one-off accrual dated 30 September 2026,
with a full reversal on 1 October 2026.
Debit the agreed expense account and credit the accrual liability;
preserve the same tracking on both sides and on reversal.

Use a distinct business reference for this obligation.
Show the exact dates, amounts, NoTax treatment, cash-basis
reporting choice and balance after the reversal.
Do not save to Xero until I approve the complete plan revision.

3. Save, then deal with the actual bill

After reviewing the plan:

I approve [plan ID], revision [revision], as previewed.
Save the accrual and its future-dated reversal as Xero drafts now.
Return verified links. Do not post the journals.

When the bill arrives, use a separate follow-up:

Find actual bill [reference] and compare it with accrual plan [plan ID].
Inspect whether the accrual and reversal have been posted in Xero.
Explain any true-up needed and propose it for review.
Do not reverse the same accrual twice or duplicate the booked expense.

Output

Expect an accrual and reversal with explicit dates and matching tracking. A recurring version needs a finite occurrence count; it does not automatically monitor incoming bills or post entries. Keep the estimate evidence and review any difference when the actual cost becomes known.
