Create a finance dashboard from your Xero data

Use xpnAi with your assistant to build a finance dashboard with clear definitions, monthly trends and traceable supporting data.

Use case

You need a management view of revenue, costs and working capital, with enough detail to explain changes when someone asks what sits behind a number.

Introduction

Start with the questions the dashboard should answer. xpnAi supplies the connected finance data; your assistant's available charting or file tools create the presentation. The output might be an HTML dashboard, a spreadsheet or a report, depending on your assistant environment.

Choose one organisation and one currency for the first version. Confirm account definitions before calculating metrics, and use a specific reporting date for receivables and payables. A dashboard based on an extract is a snapshot; live refresh needs a separately implemented connection or workflow. See xpnAi's finance-data guide for supported queries and exports.

Prompts

Replace bracketed values before running these prompts.

1. Define the view

Use xpnAi to confirm [Workspace] and [organisation], its base
currency and last successful refresh. I need a finance dashboard
for January to August 2026, with a reporting date of 31 August.

Propose definitions for revenue, cost of sales, gross profit
and operating expenses using this organisation's accounts.
Include aged receivables and payables as separate panels.
Show the proposed account mapping before calculating the dashboard.

2. Build from the agreed definitions

Build the dashboard using the account definitions we agreed.
Show monthly revenue, gross profit and operating expenses,
with source totals and month-on-month movements.

Show receivables and payables ageing as at 31 August 2026.
Keep each document currency separate in the ageing panels.
Retain unassigned tracking values and avoid counting entries twice.
Use complete summaries, not totals from a single page of transactions.

Create an HTML dashboard if your tools support it; otherwise
provide a report with charts and tables in a supported format.
Label the reporting period, currencies and data refresh time.

3. Make it explainable

Add a detail table for the largest expense movements, with
account, transaction reference, date, amount and available Xero link.
Reconcile each chart back to its source totals.
Show unavailable metrics as unavailable, not zero.
Explain how to rerun this snapshot for the next month.

Output

Look for a readable summary with monthly trends and a clear route back to the supporting data. Check that the accounting definitions match your management reporting and that ageing panels do not combine unrelated currencies.

Capture: a demo dashboard with revenue, gross profit and expense trends, separate AR/AP ageing panels, and a transaction detail table. Show the snapshot date and demonstrate one drill-down if the generated format supports it.
