Align your chart of accounts across multiple Xero files

Compare Xero charts of accounts, agree a per-organisation mapping and apply specific changes with a clear before-and-after record.

Use case

Your group has several Xero files with inconsistent account codes and names, making comparisons and shared month-end procedures harder than they need to be.

Introduction

Start with an agreed target chart or a source organisation whose chart you want to use as the reference. Accounts with the same name or code are not always equivalent: purpose, type and tax treatment also matter.

xpnAi can compare live charts and propose changes for each destination. Updates preserve matching account identities and transaction history. Applying account changes requires the optional account-and-tracking write permission on your assistant connection. See the xpnAi finance guide and connection permissions.

Prompts

1. Compare the live charts

Use xpnAi's chart-alignment guidance. Confirm the Workspace
and read the live charts for [source organisation],
[destination A] and [destination B].

Use [source organisation] as the proposed standard.
Compare purpose, code, name, account type and tax treatment.
Produce a separate mapping for each destination, including
ambiguous matches, missing accounts and archived-code collisions.
Make no changes yet.

2. Produce an exact proposal

For the mappings we agree, show each destination account's
existing fields beside the proposed fields.
Separate updates, new accounts, unchanged accounts and unresolved items.
Preserve existing IDs and history wherever an account matches.

Use each destination's own active tax types and eligibility rules.
Do not copy tax codes across organisations based only on their names.
Do not archive unmatched accounts, merge accounts or change postings.
Identify any code swaps, system-account restrictions or ambiguous
tax treatment that require a decision before applying the proposal.

3. Apply and verify the approved changes

Use this after reviewing the exact fields and destination scope:

Apply only the exact account changes in the proposal I approved
for [destination A] and [destination B].
Stop on an error and report completed and remaining operations.
If an outcome is uncertain, read the live chart before retrying.

Read each changed chart again and compare it with the proposal.
Return a before-and-after summary, unresolved items and failures.
Explain which reporting data needs a refresh to reflect the changes.

Output

Expect a per-organisation mapping and an explicit before-and-after report. Chart updates take effect immediately, rather than becoming draft journals. They are not atomic across accounts or organisations, so a partial failure needs a precise record of completed work. Chart alignment also does not automatically change xpnAi group reporting mappings.
