Set up prepayments for specific bills
Prepare a prepaid-expense schedule from a Xero bill, with the coverage period, monthly releases and source tracking ready for review.
Use case
A supplier bill covers future months, such as annual insurance or a software subscription, and you want a clear schedule for recognising the expense.
Introduction
Here, a prepayment means a prepaid-expense recognition schedule. It is separate from allocating an unapplied Xero prepayment to a bill. The source is the expense actually booked in the ledger, with its account and tracking, rather than simply the amount still payable.
xpnAi's Deferrals workflow can move the agreed amount from expense into a prepaid-expense asset and prepare month-end releases. If the bill was already coded to that asset, it can prepare releases only. The finance-data guide explains the supported spreading methods.
Prompts
1. Find the bill and coverage period
Use xpnAi's Deferrals guidance for [organisation]. Refresh
the data and find bill [BILL-2088] from [supplier].
Retrieve its booked base-currency expense basis and tracking.
Check credits, prior prepayment plans and external adjustments.
This bill covers 15 September 2026 to 14 September 2027 inclusive.
I propose actual-day spreading across that coverage period.
Confirm the eligible amount, prepaid-expense asset, release expense
account and initial date. Show the policy assumptions for review.2. Review the prepayment schedule
Prepare the agreed prepaid-expense plan.
If the source is already in the selected asset account,
omit a duplicate initial transfer and explain that choice.
Show the initial entry when required, every month-end release,
covered days per month and the remaining prepaid balance.
Preserve tracking. Use NoTax and exclude separately booked tax.
Reconcile all releases to the booked amount, including rounding.
Show the cash-basis reporting choice and keep the plan unapproved.3. Save the agreed drafts
After reviewing the complete proposal:
I approve [plan ID], revision [revision], as previewed.
Save all scheduled entries as Xero drafts now, including
future-dated releases. Do not post them.
Keep the bill reference and coverage evidence with the plan.
Return verified Xero links and any items still needing attention.Output
The schedule should show how the prepaid asset reduces over the coverage period. Actual-day spreading weights partial months by covered days; equal-month spreading gives every touched month equal weight. Choose the method deliberately. Saving creates drafts now, and posting remains a separate Xero step.
If the bill has not arrived yet, start with an accrual for an expected bill.
